How does the Cloud Storage work?

The file storage section allows you to share items between professionals and clients, as well as view the results of completed documents.

💡 What is the cloud storage in Hexfit

  1. From this section you can import files (PDFs, photos, videos, etc.) to share (or not) with your client or a group of clients.

  2. All results of “documents” and “evaluations” type interventions will also be saved here.


File visibility

  1. Click on the “Contacts” tab and select the desired client.

  2. Click on the “Cloud Storage” tab.

  3. Select the desired item.

  4. At the bottom of the file, you will see its visibility level.

    • If “Me + my client” or “Everyone” is selected, your client will be able to see it from their app.

    • Otherwise, the file will be invisible to them.

  5. To change the visibility, click on it.

  6. Confirm.

⚠️ Only files that you have created can be modified.


Add files

  1. From the “Cloud Storage” tab, click on “Add a document.”

  2. Select the file you want to import from your device and double-click on it.

  3. A success message should appear at the bottom of your screen.


Delete a file

  1. Click on the file.

  2. Click on “Actions”.

  3. Select the “Delete” option.

⚠️ Warning, this action is permanent!


Create folders

You can organize your files by creating folders.

To do this:

  1. From the “Cloud Storage” tab, click on “Add a folder.”

  2. Enter the name and click on the new “Add a folder” button.

⚠️ You can rename and delete folders that you have created, but not those that are created automatically during interventions.


Folder visibility

For a folder to be visible to a client and for them to be able to add items to it, you must insert a file into it. This file must then be set as visible to the client.

  • For example, folders could be used to store photos of a client's weight progress.

Groups

⚠️ Please note that folders added to a group can only be viewed by clients (if visibility allows).

In other words, clients will not be able to add files to them.


View document and assessment results

From the “Cloud Storage” section, you can view the results of documents and assessments that have been completed by your client or by a professional.

⚠️ Please note that this section contains protected files and folders. They cannot be modified or deleted. Only items added automatically by the software can be added to the files.

To differentiate a “protected” file from an added item, check the owner. A line will appear for items created automatically (protected).


Share before and after photos with your clients

Your clients can share photos of their progress with you. To do this:

  1. Make sure that the folder visibility includes the client.

  2. The client will be able to add their photos from the mobile app. To help them, you can share this article with them:

Add a file to the library

From the online storage section, you can add a file to your library. It can then be added to a client's folder in one go, without having to search for it on your device.

Step by step:

  1. Click on the “Contacts” tab.

  2. Select the desired client.

  3. Click on the “Cloud Storage” tab.

  4. Click on the file you want to add to your library.

  5. Click on the “Actions” button.

  6. Select the “Add to library” option.

The file will then be available to share with your other clients.


Add a file from the library

From the “Cloud Storage” tab, click on “Add from library.”

You can then add it to the client's files, delete it from your library, or modify it (name, visibility, category).
